Fairways Privacy Policy

1. Who we are

Fairways is a golf app for rounds, tournaments, scoring, profile management, and social connections between players. In this policy, "Fairways", "we", "our", and "us" refer to the operators of the Fairways service and the controller responsible for the personal data described here. 2. Data we collect

Account and identity data

Name, email address, sign-in provider details, and profile image made available by Apple or Google if you use those sign-in methods.

Profile and golf data

Display name, profile photo, gender, country, home club, bio, handicap information, rounds, scores, tournaments, and related gameplay activity.

Social and communication data

Friends, followers, invitations, notifications, and messages or emails you send to support.

Technical data

Device type, operating system, app version, browser data for the website, unique push notification token, and basic operational logs used to keep the service secure and reliable.

Permissions we request: camera access for QR-code scanning and profile photo capture, and photo-library access if you choose a profile image from your device. We do not collect precise location data.

3. How we use your data

To create and manage your Fairways account.
To run rounds, scorecards, tournaments, standings, and stats.
To power social features such as invitations and follows.
To send essential emails and optional app notifications.
To secure the service, prevent abuse, and debug issues.
To respond to support requests and improve the product.

4. Legal bases for processing

Where the GDPR applies, we process personal data using the following legal bases:

Contract: to create and manage your account and provide rounds, scorecards, tournaments, stats, and related app features.
Legitimate interests: to keep the service secure and reliable, prevent abuse, troubleshoot issues, respond to support requests, and improve Fairways in ways that do not override your privacy rights.
Consent or your choices: for optional permissions and features such as push notifications, camera access, and photo-library access. You can change these choices in the app or device settings.
Legal obligation: when we must keep or disclose information to comply with applicable law or valid legal requests.

5. How we share data

We do not sell your personal data.

We may share data only in these limited situations:

With other Fairways users when needed for the app experience, for example your display name, profile photo, scores, invitations, or tournament participation.
With service providers that help us operate the service, such as backend hosting, authentication, data storage, file and profile-photo storage, email delivery, push notification infrastructure, diagnostics, and operational logging.
When required by law or when necessary to protect users, our service, or our rights.

6. International transfers

Some of our service providers may process personal data outside the EU/EEA. When this happens, we rely on appropriate safeguards such as an adequacy decision, Standard Contractual Clauses, or other safeguards permitted under the GDPR.

7. How long we retain data

We retain different categories of data for different periods, depending on why the data is needed:

Account, profile, golf, and social data: kept while your account is active so we can provide the service.
Push notification tokens and session-related data: kept until you sign out, remove the app, the token expires, or we remove stale tokens after extended inactivity.
Support emails, security logs, and operational logs: typically retained for up to 12 months.
Backups and disaster-recovery copies: may remain for up to 90 days before automatic overwrite or deletion.

If you request account deletion, we aim to delete or anonymize your personal data within 30 days, unless a longer retention period is required for legal compliance, fraud prevention, dispute resolution, or security.

8. How data is deleted

You can request deletion of your Fairways account and associated personal data by following the instructions on our Delete Account page or by emailing support@fairways.live from the email address linked to your Fairways account.

We may ask you to verify account ownership before deletion.
Once verified, we delete or anonymize profile information, uploaded profile photos, authentication details, social links, and other account-linked personal data.
Some shared scorecards, round history, tournament records, or audit records may remain in aggregated or de-identified form so that other users' records remain intact.

9. Your privacy rights

Where the GDPR applies, you may have the right to request access to your personal data, correction of inaccurate data, deletion, restriction of processing, data portability, and objection to processing based on legitimate interests. You may also withdraw consent where processing is based on consent.

10. Security

We use reasonable technical and organizational safeguards designed to protect personal data against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, but we work to protect the data we hold.

11. Children's privacy

Fairways is not directed to children under 13, and we do not knowingly collect personal data from children under 13. If you believe a child has provided personal data to Fairways, contact us and we will investigate.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date on this page. Material changes may also be communicated inside the app or by email when appropriate.
